Clear Staffing Policies You Can Depend On

Review our cancellation guidelines designed to protect clinics, professionals, and scheduling reliability.

Staffing Policies for Clinics and Professionals

For clinics:

1. Notice Period:

  • To maintain reliability for our clinics, professionals are expected to provide timely notice when cancelling a confirmed shift. Clinics must provide 24 hours' notice for any confirmed shift cancellation. This allows adequate time to reassign staff.

2. Late Cancellations:

  • Cancellations made within less than 24 hours of the scheduled shift may result in a cancellation fee equal to a minimum of 3-4 hours of pay and placement fee.

3. Same-day Cancellations:

  • If the clinic cancels on the same day or after the staff has already arrived, they will be charged for 6-8 hrs depending on the length of the shift.

4. Staff Reassignment

  • We will attempt to reassign the staff member when possible. If successful, the fee may be reduced or waived.

5. Emergency Exceptions

  • Cancellation fees may be waived in genuine emergencies (e.g., severe weather, facility closers), subject to review.

Professional Cancellation Policy

1. Shift Commitment

  • Once a shift is accepted, it is considered a firm commitment. Staff are expected to honor all confirmed bookings.

2. Required Notice for Cancellation

  • Staff must provide 24-36 hours’ notice if they need to cancel a shift.

3. Late Cancellations
Cancellations made within less than 24-36 hours of the shift may result in

  • A warning
  • Temporary Suspension from booking shifts
  • Reduced priority for future assignments

4. Same-Day cancellation/no-show
If a staff member cancels on the same day or does not show up for a scheduled shift, this may result in:

  • Immediate suspension or termination from the agency
  • Removal from preferred staff lists
  • Loss of future booking opportunities

5. Emergency Exceptions
We understand that unexpected situations happen, and exceptions may be made for genuine emergencies (e.g., illness, family emergencies), but

  • Staff must notify us as soon as possible
  • Repeated “emergency” cancellations may still be reviewed
